Step-by-step guides for getting set up in OneHive Mail, plus practical advice on consent, deliverability and writing emails people want to read.
Getting started
Get set up in five steps
Most of the setup takes an afternoon. An Organization Admin completes the first two steps, and our team reviews each new account before its first live email.

Add your business details
Your business name and mailing address go in the footer of every email, as anti-spam laws require.

Set up your sender
The name your emails come from and where replies go. OneHive Mail sends from its own verified address: no DNS to set up.
Settings → Sender Settings -
Set up your branding
Your photo, logo and contact details fill into every design you pick; your brand colour and social links into the designs made to show them.
Settings → My branding -
Import your contacts
Upload a CSV, match its columns and record how people agreed to hear from you.
Contacts → Import -
Send your first campaign
Pick a design, make it yours, send yourself a test, then send or schedule it.

Plans & billing
How is OneHive Mail priced?
By your active contacts. Plans start at $25 USD/month for up to 1,000 contacts and go up to $149 USD/month for 20,000. Every plan includes every feature and a monthly allowance of email sends equal to ten times its contact limit. Paying yearly costs the same as 10 months. For more than 20,000 contacts, send us a message from our Contact page and we’ll put together a plan for your audience.
Which currency are your prices in?
US dollars, and Canadian dollars for customers in Canada. Each currency has its own fixed prices rather than a daily exchange rate, and the switch on the pricing page shows either one. Your plan is billed in the currency shown when you sign up.
What counts as an active contact?
A contact who can receive your email: subscribed, not archived and not suppressed. Unsubscribed and bounced contacts, people who reported spam, archived contacts and contacts you keep only in the CRM don’t count toward your plan.
How many emails can I send?
Each month, ten times your plan’s contact limit: for example, 10,000 sends on the 1,000-contact plan. Need more? Email add-ons start at 10,000 extra sends for $5 USD/month. They reset each month and unused sends don’t roll over. Add them any time under Billing.
What happens when I reach a limit?
You’ll see a warning at 80% and again at 90%. At your contact limit, new contacts can’t be added or subscribed until you move to a larger plan. At your sending limit, a campaign that would go over can’t be sent until you add more sends or the next month begins. Nothing is ever deleted.
Is there a free trial?
Yes: 10 days of the full product with up to 100 contacts, 250 email sends in total and one user. A credit card is required and you pay $0 that day; your selected plan starts when the trial ends unless you cancel first. Prefer to skip it? Subscribe now and your plan’s full limits start as soon as you pay.
How many people can use one account?
3 users are included on every paid plan, and each extra user is $5 USD/month or $50 USD/year (add them any time under Billing). Standard users build campaigns and automations and work on contacts and reports; Organization Admins also manage users, senders, compliance and billing, and send campaigns and switch on automations.
Contacts & sending
Can I bring my contacts from another email tool?
Yes. Export them as a CSV file (most email tools, including Mailchimp, can), then import it under Contacts → Import. Files up to 25 MB or 50,000 rows are supported; split larger lists into several files. The import guide walks through it.
Do I need my own domain to send?
To send real campaigns, yes. Emails come from your own address, and its domain is verified with SPF, DKIM and DMARC records so inboxes trust it. Our team sets this up with you. You can build and preview campaigns while it’s being done.
How do unsubscribes work?
Every email has an unsubscribe link in its footer and supports the one-click unsubscribe button in Gmail and other inboxes. It takes effect immediately, for every campaign and automation, and people can tell you why if they want to.
What happens when an email bounces or someone reports spam?
That address is suppressed and won’t be emailed again. If bounces or spam reports over the last 30 days climb above safe levels, sending pauses automatically until we review it with you, which protects your sending reputation.
Can I schedule a campaign?
Yes. Choose a date, time and timezone when you send. You can cancel a scheduled campaign any time before it starts, and pause one part-way through sending.
Features & setup
Does OneHive Mail work with my calendar?
Yes. A private calendar link shows your OneHive Mail activities in Apple Calendar, Google Calendar or Outlook. It’s one-way for now; two-way sync with Google Calendar and Outlook is on the way.
Can I use my own email designs?
Yes. Start from a blank canvas in the designer, build reusable templates from any ready-made design or a blank canvas, or edit the HTML of a campaign directly if you prefer code.
Is my data kept separate and secure?
Each organisation’s data is kept separate from every other. Access depends on each person’s role, sign-in is protected, and important account activity is recorded.
Can I use it on my phone?
Yes. OneHive Mail works in the browser on phones, tablets and computers, in light or dark mode.
How do I get in touch?
Send us a message from our Contact page, and we’ll reply by email. If you’re already a customer, use the email address you sign in with so we can find your account quickly.
Ready to try it yourself?
The 10-day free trial includes up to 100 contacts and 250 email sends.
