Real estate CRM

A simple real estate CRM, built into your email

Your contacts, pipeline, tasks and calendar share one list with your campaigns. See who opened the listing email, call them and set the next task from the same screen.

Why one list matters

Your CRM and your email marketing shouldn’t disagree

Many agents keep contacts in one place and send email from another. Every import, export and copy-paste in between is a chance for an unsubscribed client to slip back onto a list, or for a hot lead’s click to go unnoticed.

In OneHive Mail there’s one contact list. When someone clicks a listing email, it’s on their timeline and in their engagement score. When they unsubscribe, every campaign and automation knows straight away. And when you move a client to “Past client”, your next past-client newsletter already includes them.

What’s inside

Contact organisation built around real estate

  • A timeline for every contact

Emails, opens, clicks, notes, calls, meetings and tasks in one place, newest first.

  • A pipeline board

Drag people between stages you define, from new lead to past client, or move dozens at once.

  • Tasks and reminders

Due dates and priorities, with overdue, due-today and next-7-days views.

  • A calendar

Month, week, day and agenda views, a team view, and a private link that shows your activities in Apple, Google or Outlook calendars.

  • Activity in seconds

Log calls, meetings, showings, texts and emails with an outcome and notes.

  • Engagement score

Hot, warm or cold at a glance, from the last 90 days of opens, clicks and activity.

  • Buyer and seller details

Budget, areas, property type, bedrooms, timeline and pre-approval for buyers; value, timeline and motivation for sellers.

  • Relationships and owners

Link spouses, lawyers, mortgage brokers and referrers, and assign every contact to a team member.

  • Email one person

Write to a single contact from their profile, and it lands on their timeline.

Database management

Contact types, lists, tags and segments

Every contact can have a type, so a segment can reach every buyer in one city, or every referral partner, without a spreadsheet. Lists and tags group people however you think, and segments update themselves as contacts change stage, type or tags.

  • Buyer
  • Seller
  • Landlord
  • Tenant
  • Investor
  • Referral partner
  • Lawyer
  • Mortgage broker
  • Vendor

Contact types available out of the box.

Keep it clean

  • One contact per email address: imports update existing contacts instead of creating duplicates
  • Unsubscribes, bounces and spam reports stay off every future send, even if someone is added again
  • Archive contacts you no longer email: they keep their history and stop counting toward your plan
  • Search by name, email, phone, company or city, and export any filtered view to CSV

Questions

Real estate CRM questions

Can I import contacts from my current CRM?

Yes. Export a CSV and import it under Contacts → Import. Columns for contact type, pipeline stage and tags are recognised along with names, phone numbers and addresses, and a contact already in your account is updated rather than duplicated.

Do contacts I keep only in the CRM count toward my plan?

No. Only contacts who can receive your email marketing count. People you keep in the CRM without email consent, such as a lawyer or an inspector, don’t.

Does it sync with Google Calendar or Outlook?

Your activities appear in Apple, Google or Outlook calendars through a private calendar link, so you can see them alongside everything else. Two-way sync, where changes move both ways, is on the way.

Is it a transaction management system?

No. OneHive Mail doesn’t handle offers, documents, e-signatures or commissions. It’s for the relationships around them: the people, the conversations and the follow-ups.
